In our busy lives, a few hours a week means time for a date, or a few hours of self-love pruning in the bath - so imagine what you could do with 10, 20 or even more extra time each week 🤯
Well, from reading some of the best time management books out there, these are my top 4 quick habits to efficiently manage your time, which save me hours each week 🙌 They are simple, but hugely effective techniques to make the most of our 16 or so waking hours a day, and honestly are some of the core techniques that allow me to keep up a demanding career as a corporate lawyer, while running multiple businesses on the side 👨‍💻
The key to these habits is (as with all habits) consistency… kinda obvious, I know. But with these habits especially, they really don’t take much effort, but they do require a consistent consciousness of how you are working. So, try to keep each of these in mind as you get ready for, and then during, each of your work sessions 🫶

  • I use the 30 30 rule when getting things done that are not deep work. Set timer for 30 minutes and only do that one thing for that time then another 30 for something else work or fun. It provides a window with a deadline so you don't get off task and you can relax for 30 minutes without guilt since it also has a limit built in. It is amazing how much you can get done with this without burning out or procrastinating.

    • That has been the most profound tip for me as well. I do 55/5 and I am so much more productive than in 3 hours because I can‘t get into flow then.

    • Oh wow, 30 30 sounds like a great technique! Different to pomodoro. You only get a small break as a reward and to refocus with pomodoro but I like the sound of the 30 mins to move onto something fun or more relaxing. Going to give this a go next time I need to focus on one of those tasks I dislike doing but are part of the job - like project status reports!

  • Multitasking isn’t just ineffective, it doesn’t really exist. Ok so you can listen to an audiobook whilst exercising, but anything requiring focus you cannot split that focus - all that happens ineffective rapid switching between tasks.

    • Depends what you call multitasking. As a former head casheir of a small family owned hardware store I had the challenge of staying on top of multiple different priorities at the same time. For context the store was run by just a few people, my responsibilities were basic cashier tasks, handling the phone of 4 lines, sharpening blades on a bench grinder, logging all sorts of repairs and sharpenings, training highschoolers, restocking and cleaning up inventory, logging defective returns. . . . It may have looked like I was multitasking, but generally it was just being confident in when to switch to another task and doing that rapidly. That ment having a running list of priorities and to-dos on paper and some in my head. At most I was passively working on 1 task while actively on another task. But at any 1 second I was only focused on 1 thing with all my energy. Immediately as that task was done, or had to be waited on, I used the time for something else. But I usually had the supplies of that other task close by so it was seemless to switch back and forth.

  • Game changer for chores. While waiting for your food to cook/water to boil, start a load of laundry and/or do as many dishes as you can until it's time for you to cook or eat. It keeps my sink clear and I don't have to stress about it building up later 😁

    • Right now the markets are going berserk right now. This is the best time to watch them, get to know them better, and strike when the opportunity presents itself. I learned that from a portfolio manager , ’LISA MICHELLE PACILLAS’ she's seen dozens of market cycles over the past few decades and she has a feel for how they move, why they move and what comes next.

  • My advice is to prepare yourself 2x times per day using a work diary and also update it by progress: 1. before work (in the morning time) to plan/estimate most urgent & important project/tasks, 2. while work: at least when running into problems or progress results to document them, 3. after work (evening time) to summarize/evaluate/review and ahead for the next day/week. I prefered digital notes as I work full time on computer, so copying already shown text into the work diary from work results saved me much time. This also helped me structuring my time and getting even through complicated problems, as it helped me recognizing & diffentiating new from old issues and their context and even get enough mental distance to details to not loosing myself and struggle chaotic.

    • I do something similar. I have a paper journal that I write down what I'm working on, any tasks that I need to do, but not now, meeting notes and so on. At the end of the day I always have two notes. One is a timesheet summary (because I'm usually too busy/unmotivated to fill it out at the end of the day), and the other is called "Breadcrumbs", which is a list of clues of what I should be focusing on when I start work the next day. The first thing I do the next day is read the breadcrumbs, check my inbox and the chat channels. Then write a note called "Daily Standup" ready for the 15-min daily team meeting, answering the three questions, what did I do yesterday, what am I doing today, what blockages do I have.

  • I’ve got about 10 tasks that need to be done weekly, but are due on different days at different times. Just batching them together and finishing them all on Monday has made a significant difference in my work week.

  • Something that helped me immensely was setting an alarm once an hour to stretch and move around (I would do two laps around the house). I noticed that especially when i had a difficult task it would make me think about that task and come up with more elegant/efficient solutions, rather than going with the first thought. I suppose it's kind of the same as what you mentioned of "just think about the task for 5 minutes =) thank you for the video. good work.

  • The multitasking example is also a good form of temptation bundling in which you pair something you want to do with something you need to do. It’s a great way to look forward to, and enjoy chores.

  • The last tip is super helpful from my experience i have a menial job which i don't like at all i just drag my feet to work everyday and i feel time passes slow so as i am able to do this job on autopilot i decided to start putting on my earpods and learn french and spanish i would have 8 hours a day just constant learning and i think i will be so surprised by how far i can go if i just stay consistent and never slack off i think 1 year would make a huge difference

    • I do the same thing! While my desk work requires thought, my day-to-day lab work mostly doesn’t and so I now spend my workday listening to podcasts in Spanish, French, or German. It’s interesting and relaxing and very casual way to get 2-8 hours of listening in without having to use more of my personal time.

  • The different desktop example really struck me. I knew it was a feature before, but I could never figure out how it would be useful personally. Different desktops for different projects/modes of working = brilliant! I am looking forward to trying it especially at work. If you use Mac, i have heard of the Arc browser which does a similar thing (different "workspaces") but in a web browser. It is currently only available on Mac, but I am so excited for it to come out on Windows.

    • You can run multiple desktops on one Windows computer. Windows Key + Ctrl + D - opens a new virtual desktop. Windows Key + Ctrl + F4 - closes the current virtual desktop. Windows Key + Ctrl + Left/Right - switches to the virtual desktop on the left or right.

    • Yes! Desktops to boost focus ftw! To take it even further, I like to hide any taskbar icons on the right (I'm a Windows user) so I don't see even any of the notification badges on Slack or Telegram while I'mfocusing. Another thing I like is grouping tabs in Chrome. It works wonders, cutting distractions from tabs you need to have open but which aren't related to what you're working on.

  • My understanding of 'Multitasking works by using the brain and the body': It simply means that when you are doing 'second nature' tasks with your body like walking or doing the dishes or watering the plants (everyone may have a some list like this), your brain is free to listen to or think about something else.

  • All this is extremely helpful and makes absolute sense. The only fly in the ointment: You do not necessarily get that luxury of being able to block yourself out if you work in an office. If you are really in the zone you can count on it with 100% reliability that someone is going to stick their head in and demand that you do something else, for them, real quick and right this instant. This completely kills your flow. I have been there so many times and it is very irritating.

    • We call this kind of distraction "hey-joe tasks". Like "hey joe, can you do this for me?". If you can, learn to block people kindly and ask to come back later or stick to processes. If something needs to be done "really quick" it is usually due to lack of planning on someone else's side and should not become your problem. Unless you work in an emergency room or you are an incident responder of any kind. I used to work as a IT infrastructure admin and people constantly came up with hey-joe tasks. Luckily we had a ticket system, so unless the company was at risk, I developed the habit of declining people and made them stick to processes. Of course I could have done most tasks easily, but I would have lost focus of my actual task. Today I work in information security on a more holistic level, but the problem persists. The people and the kind of tasks change, but the overall problem of hey-joes does not go away. I still have to strictly manage myself and I am still working on educating others to respect the time of their fellow human beings. My direct boss is also of this kind. He likes to use video calls for nonsense without a real reason, no matter if you set your status to "lunch break" or "do not disturb".

    • I sit in an area that is out in the open and might as well have "Information Desk" above my seat in neon lights LOL I put a sign on my desk while my earbuds are in (it looks like I'm on a call, but I'm listening to music to GSD 😉). My sign says: "Do not disturb me - I am on a call. Unless you have an emergency, please come back later. Thank you so much!" Most people respect the sign and return or DM me later.

  • Great video, one thing I do when batching is I batch by location, so I keep a list of jobs for different locations then when I am in a certain location I can do the jobs that need to be done in that town or location.

  • I have found that listening to LOFI (low fidelity) music on KZhead helpful to stay focused while sitting and working on a task. It keeps my brain just busy enough in the background to not be looking for distractions.

  • I worked in an office up until recently, the down side were that I was constantly interrupted to cover staff or assist with tasks, when co workers were busy, away or out in the field with clients, multi tasking is not very good because your constantly having to re trace your steps and pick up where you left. I run my own business and I can completely schedule things without stopping. 1 Start the day early and walk 2.75 km get coffee then read & journal walk home shower 2 Twice a week 9am -11.00 I work solidly at home (office) extremely practical 3 I finish work at 5.30 pm I use a common place workbook & an iPad (minimal) and 1 book I am reading. All my notes for work are in 1 app Click Up I don’t use multiple apps. I take notes on my iPad for clients that sync to apple notes easy and effective

  • I agree with all your points except the last one. My views on it : It's very easy to fall into that "always productive" trap. When you are exercising, let's say Yoga, the most important aspect of it is to focus and be mindful of your body movements and your BREATH. You can very well listen to a podcast while doing it, but then you lose out on the whole point of it. You did do that task but you won't get as much benefit from it, as you could. Secondly, tasks like walking, etc can be better designed to just be in the moment and notice the things around you .. let your mind wander instead of putting it up for another task. Just my views :) Great video, thanks for sharing :)

    • Sorry, but I think that's a bad example. Everyone agrees Yoga is not only a "Body" thing, it's also a "Mind" thing. I think the "Brain-Body" suggestion merely applies to mundane stuff, like listening to audiobooks while doing the dishes. BUT I ALSO GET WHERE YOU"RE COMING FROM because the point of mindfulness is to be at the present moment, so I guess that's what the meditation teachers will tell you -- walk mindfully, be present at the moment, etc etc. But personally I think I'll lose out on a lot of productive time if I didn't listen to my audiobooks while doing chores, I just happen to do A LOT (like a MILLION) of them, i.e., household chores. Same with the channel owner, he's a corporate lawyer, so i imagine he does a lot of 9-5 and overtime, so he has to stretch out his productive hours 💛

  • Blocking can also work when processing emails. Instead of working through them one at a time, make an initial pass through and categorize them in to reply, do, calendar, delegate, review/file. Then work through each category one at a time.

  • I normally do all what you have listed here, and I have one more for you, this one works the best for those who work at home or who can adjust their work hours freely, I find it very rewarding and I accomplished a lot of work using this practice and that is to work all day for 2-4 days then taking like a big break like 1 week or so, in these 2-4 days I sleep thinking of my work, everything is my work, project, to do list, things to learn, arrange, adjust, fix and a lot of other stuff, and this practice works absolutely amazing if you had like a long course to learn, I might be the only doing something like that lol, but wanted to share my experience, thanks for the video.

    • you know what, I think you are into something here.....I am a content creator and I keep working everyday until I burn myself with pressure and everything, however, if I apply your system I would expect higher productivity and your system can be shaped in many forms such as ( 2 days work-2 days free) over two weeks or (weekend off and for each day you work you get a free day during the week.. It can be rewarding thus your productivity will be high. Thanks man for sharing.

  • Wow I love this video, you seem so organised! Couple of comments, the idea of getting into a chair in the office - cinema mode - and never leaving for example to get a glass of water, i'd be stiff as a board if I didn't get up and do something every few minutes, like fetching a glass of water etc. But your appear to be a lot younger and probably fitter than me! Also, the multi-tasking bit at the end, whereby you combine exercise with some kind of brain-work, i used to go for an hour walk and take business calls and listen to audiobooks at the same time, and a nutritionalist advised against it if I wanted to get the most benefit from the exercise. She went into lots of technical detail as to why I should 'just' exercise whcih I have forgotten the details of, but that was only one considered opinion, and not one that I necessarily live by in any case.

  • As for noise, find out what relaxes you most. For some it’s their favorite music, for others it may be the sound of a moving train or car (I’ve recently found I can work best to these “car driving around LA” videos).

  • Cinema mode is similar to my dentist chair. Dentist chair is one hour of focused time dedicated to getting a task done that I wouldn't otherwise do because it's boring or menial but needs doing.

  • Is use the pomodoro technique that I adapted to pace, I work 35-40 min épand take a 5 min break, doing a quick walk to the kitchen and get my tea, or just squad. But I do prep my week on sundays, it helps a lot, batching the tasks that I need to focus on as well.

  • Off topic but I see you using both Mac products as well as Windows (I assume the Windows OS is a requirement for work). I’d love to see how you make that productivity workflow come together. I think a lot of people (myself included) are forced into that personal/work split and could benefit from your lessons learned.
